Job DescriptionPosition Summary: This position supports, assists, and aids other members in the Purchasing Department with various administrative and procurement functions. You will work closely with suppliers, maintaining positive relationships while negotiating specifications, pricing, and deadlines. The Buyer must be able to work independently, prioritize job duties, and prepare cost analyses and competitive pricing strategies.

Position Responsibilities (all duties are for STL and OLN location):

• Print, Save, Date Stamp, and File all invoices daily
• Obtain receiving paperwork daily in person (St. Louis) and obtain receiving paperwork weekly, electronically (Olean)
• Perform ‘3-Way Match’ of Purchase Order, Receiving Paperwork, and Invoice for all received materials
• Ensure the invoice unit price matches the purchase price or is properly reconciled with the buyer
• Track and report on Inventoried Material-Invoice discrepancy KPIs
• Maintain department KPI spreadsheets and follow up with staff
• Send all non-inventory ‘3-Way Matches’ to the requisitioner via intercompany mail (STL) and via email (OLN) for approval signatures. Ensure their return and submittal to the Finance Department once obtained
• Create all K-type, A-type, and FO-type purchase orders, requesting Single-Source or Competitive Bid Form when appropriate
• Control the distribution of Purchase Order Numbers to departments that order independently (IT, EH&S, Maintenance, and Engineering)
• Place and maintain purchase orders with suppliers for assigned materials
• Ensure order confirmations are received and reviewed as necessary. Resolve any discrepancies prior to receipt of material
• Release ‘Plant Maintenance’ requisitions and create subsequent ‘Plant Maintenance’ purchase orders
• Serve as the order management point of contact for Maintenance, Repair and Operation (MRO) supplies and other professional services as requested
• Create all K-type and ZER material numbers as needed
• Oversee the Vendor Add-Change Form Process, ensuring proper documentation and establishment of company-guided payment terms
• Execute Tax exemption forms and Vendor credit applications upon request
• Process FTL Freight, LTL Freight, and Customs invoices, including List Bills, FedEx, and UPS
• Maintain Freight Cost/Railroad/Demurrage Spreadsheet
• Order, stock, and maintain office supplies (5S)
• Notify Supplier Corrective Action Reports (SCARs) and Supplier Warnings (SW), including creating and updating the Quality Notification (QN) in SAP
• Provide backup to other team members as required
• Assist the organization in creating a safe and healthy working environment by working safely, using provided equipment, and following health and safety instructions. Report any unsafe working practices or hazardous conditions immediately
